The Coordinator Scheduling Operating Room at Westover Hills Specialty Neurosurgery facilitates patient access to the facility and is responsible for establishing encounters for patients who meet hospital service guidelines. This advanced-level position requires accurate data entry, direct communication with patients, families, physicians, and nurses, and professional appearance and behavior. The role demands dependability, flexibility, teamwork, and good judgment in resolving customer issues.
Responsibilities
- Obtain and accurately input all required data elements for scheduling and registration, including patient demographics, financial information, guarantor information, and relevant encounter notes
- Input data fields including address, employment, insurance information, nearest relative, guarantor, insurance plan, admitting diagnosis, working diagnosis, and physician information
- Prioritize and complete scheduling in a consistent, courteous, professional, accurate, and timely manner
- Review the schedule to ensure accuracy
- Ensure each patient is assigned only one medical record number
- Select the appropriate patient type based on department and services required
- Document information in account notes
- Ensure orders are received and consistent with tests and procedures
- Confirm schedule with each physician daily, including confirmation of null schedules
- Greet patients courteously and professionally, using their names
- Ask patients about any special needs
- Represent the Surgery department professionally and courteously at all times
- Work with other departments to resolve scheduling issues in a timely and professional manner
- Make minimal errors in scheduling and insurance verification
- Utilize education information to reduce error rates and request additional education when necessary
- Demonstrate ability to select correct insurance plans
- Provide focused education for staff as needed
- Coordinate new hire training if needed
- Ensure Healthstream education is completed timely
- Attend the majority of Direct Connects
- Assist the hospital in the event of internal or external disaster
- Support flexible departmental needs to accommodate patient volume, which may require assignment to another area or shift change
- Support the department in achieving established performance targets
- Complete required training as needed
- Perform all other duties as assigned
Required Qualifications
- High school diploma or equivalent
Preferred Qualifications
- Associate degree with emphasis in health or business-related field
- Six months of scheduling experience
Schedule
- Monday through Friday, 8:00 AM to 5:00 PM
- Full-time position
